Electronic Communication Tools

Electronic communication tools have significantly improved the speed and
effectiveness of communication at workplaces. Apart from being fast, electronic
communication tools also facilitate better communication because of their convenience. For
effective communication of a message, it is important to choose an electronic communication
tool that is appropriate for the intended audience and suits the type of message that needs to
be communicated.

At my workplace, there are multiple times that I have had to communicate urgent and
important information to my colleagues. For instance, we were once working on a project and
then my boss informed me that the project’s deadlines had been changed. We now had to
deliver the project earlier than had planned. I had to quickly organize a meeting with the
project’s team members.

As the meeting was important and urgent, I used telephone calls. One of the main
advantages of telephone calls is that they are fast and guarantee that the intended recipient of
the message receives the information. When one uses other electronic tools such as text
messaging or electronic mails, the message may be ignored or the recipient may not read it
with the attention that it deserves. Another advantage of telephone calls is that they give
recipients a chance to seek clarifications about the message in case there are aspects of it that
they do not understand.

Using telephone calls to deliver messages about the urgent meeting was effective
because every team member received the message on time. Clarifications were also made for
team members who needed them. As everyone attended the meeting at the stipulated time and

knew what the meeting was all about, I can say that the telephone communication tool that I
used was effective.
