Project Communication Plan

Effective project management is the foundation of success in any project. There are
various reporting procedures that have proven to be effective in running projects. Project
management helps in saving time and resources. It ensures that important decisions in the project
are based on existing data. Through effective team management, the team responsible is able to
focus on the important things that matter. It eliminates distractions and ensures that everything is
kept in control. Reporting is done in a systematic way, and this helps ensure that stakeholders are
kept updated on the progress of the project.
In the reporting process, documents that will be used include a work breakdown
structure, issue log, and project charter. A work breakdown structure (WBS) will help in
planning the core of the project. It will help define the scope of the project as well as the required
human resource. It will also help in listing down deliverables that will be broken further into
work packages (Walker, 2015). It will help ensure that all elements of the projects are given the
necessary attention. An issues log will help in the identification of problems that have been
experienced in the course of executing the project. It will identify the impact as well as the
proposed ways of mitigating the issues. The project charter will identify the scope, requirements,
and budget. It will also outline the success factors and important milestones.
Delivering project work and performance results call on one to maintain dialogue with
stakeholders. The reporting will be done through regular meetings with the stakeholders. The
meetings will be organized during different touchpoints of the project (Taniguchi & Onosato,
2018). Important and regular updates will be given to ensure that stakeholders remain in touch
with the project. Important information that will be included in the project report includes the

name of the project as well as the project number. In addition, the start date of the project, as
well as the expected finish date, will also be included. The organization’s progression and history
will be included in the project.
The project communication management tools to be employed include a project
organization chart and a project calendar. The organization chart will detail every person
involved in the project and their roles in the project. On the other hand, a project calendar will
examine important timelines and milestones that have to be achieved. In case there are revisions
to project progress, the revisions will be communicated during the regular meetings with
stakeholders (Taniguchi & Onosato, 2018). The important ethical guidelines that will be included
in the project management process include trust, honesty, and responsibility. The ethical
guidelines will seek to build effective teamwork in the execution of the project. The goal will
also be the creation of harmony and professionalism in teams. Project success can only be
achieved if all the people involved embracing these ethical guidelines and virtues.
Consistency and accuracy in project reporting are important guiding procedures. An
accurate schedule will be maintained from the start. Effective planning will guarantee accurate
project reports. The resources available will also be key in ensuring that team members
understand all the requirements needed. Different parts of the project will be assigned to
different employees. Examples of templates that will be useful in project management include a
budget template, grant chart template, and a to-do chart.
